You've got a build to run. You don't have time to babysit a labour hire provider, chase no-shows, or rebrief the same job every Monday. You want a phone call that gets answered, workers that turn up, and a back-up when something goes sideways.
The trouble is, every labour hire firm in Adelaide tells you they do exactly that. So how do you tell which one actually means it? You ask the right questions before you sign anything — and you watch how they answer.
Below is the checklist. Use it next time you ring around. Tick a box for every clear answer. Cross one off for every vague one. By the end of the call you'll know whether they're worth meeting.
1. Are they licensed in your state?
South Australia introduced labour hire licensing to weed out the dodgy operators. If the firm you're ringing isn't licensed in SA, that's the end of the call. Same goes for Queensland and Victoria.
Don't take their word for it. Ask for the licence number. A real provider will rattle it off without flinching.
Watch for: a pause, a re-direct, or "we're working on it". Those are all the same answer — no.
2. How do they screen workers before sending them out?
The biggest difference between a good labour hire firm and a bad one is what happens before the worker turns up at your gate. Are they being matched to your job — tickets, experience, attitude — or are they just the first name in the queue?
Ask: "Do you meet your workers face-to-face before sending them anywhere?" Anyone running a proper operation does. The ones that don't will tell you they "rely on phone interviews" or "trust the resume". That's how you end up with a forklift driver who's never touched a forklift.
Watch for: hand-waving about "rigorous processes" with no specifics. A real provider will tell you exactly what the screening looks like — the interview, the ticket check, the reference call, the safety briefing.
3. Do they cover the full mix of roles you actually need?
A site needs more than labourers. You've got operators, tradies, and admin support — the receptionist, the document controller, the HR coordinator on parental cover. If you have to use one mob for the trades and another for the office, you're juggling two contracts and two invoices for no good reason.
Ask what they cover. The good firms will say labourers, operators, tradies, and admin support. The narrow ones will only say "general labour" and you'll be ringing around again in three weeks.
4. Which sectors do they actually work across?
Civil, construction, manufacturing, and warehousing all need labour hire, but they don't need the same workers. A firm that's strong in warehousing might be hopeless on a civil project. A construction-only firm won't know what to do with your manufacturing peak.
Ask which sectors they cover and which clients they work with in your space. If you can't get a straight answer, you're probably their first project of that kind.
5. What happens when a worker doesn't show?
This is the question that separates the talkers from the doers. Every labour hire firm will tell you their workers "always show up". They don't. People get sick. Cars break down. Family stuff happens. The question isn't whether it happens — it's what they do when it does.
A real provider has a back-up plan: a stand-by pool, a replacement guarantee, an actual phone call telling you what's happening before you find out yourself. Vague reassurance is a red flag. Specific recovery steps are a green light.
Watch for: "We rarely have no-shows." Every firm rarely has no-shows on paper. Push for the recovery plan.
6. How do they confirm shifts — and when?
You shouldn't have to ring at 6am to find out who's coming. A proper provider sends a confirmation the night before, then again early in the morning, with names, start times, and contact numbers. If the firm's communication runs on "we'll call if there's a problem", you'll always be the last one to know.
Ask what their morning communication looks like. Then ask to see an example.
7. Who answers the phone?
When something goes wrong at 6:15am, you want to ring a person who knows your job, not a queue. Big firms route everything through a national call centre. Smaller, locally run firms have a coordinator who's actually been to your site.
Ask: "If I ring at 6am tomorrow, who picks up?" If the answer is a name and a mobile number, you're in safe hands. If the answer is "our after-hours line", decide if that's good enough for you.
8. How long have they actually been doing this?
Labour hire is a relationship business. The firms that have been around 20+ years have been around because their customers keep ringing back. Newer firms might be perfectly good — but they haven't been tested through a downturn, a major client loss, or a bad worker pool.
Ask the year they started. Ask what their longest current customer relationship looks like. Time in the trade tells you a lot.
9. Are they local, or are they running you out of head office in another state?
SA-owned and operated isn't a tagline — it's an operational fact that changes how the firm runs your account. A local firm has decisions made by someone who knows the Adelaide market, drives past your site on the way home, and answers to a local owner. A national firm answers to a board in another state.
Both can do the work. But local providers tend to know your site, your supervisors, and your suburb. Decide which matters more for the way you operate.
10. Do they actually visit your site?
The providers worth keeping don't just send workers — they show up. They drop in to say hello, walk the site with the supervisor, and check in on how the workers are going. That's how problems get spotted before they become problems.
Ask: "When was the last time you visited a customer site?" A real provider will give you a date this week.
11. Can they ramp up — and back down?
Construction work scales with the program. You might need 3 workers this week, 12 next week, and 30 in a month for a fit-out. A good provider can do that without dropping the ball. A weak provider will tell you they can — and then send the same three workers stretched across all 30 shifts.
Ask about the largest crew they've fielded. Ask how quickly they can scale a specific role. Concrete numbers beat vague promises.
12. What does their compliance paperwork look like?
You don't want to be the one chasing White Cards, inductions, licences, or workers comp paperwork. A proper labour hire firm has all of that on file before the worker leaves their office.
Ask if they can email you the worker's tickets and inductions before the shift starts. The answer should be yes, every time, no exceptions.
The shorthand version — the 12-point checklist
Print this and tape it to the inside of your hard-hat:
- Licensed in your state — with a number you can verify
- Workers screened face-to-face before they're sent
- Covers labourers, operators, tradies, and admin support
- Works across civil, construction, manufacturing, and warehousing
- Has a real recovery plan when someone doesn't show
- Confirms shifts the night before and early morning
- You can ring a real person at 6am
- 20+ years (or has earned the years they've been at it)
- Local presence, local accountability
- Visits your site — not just sends invoices
- Can scale up and back down without dropping quality
- Compliance paperwork ready before the shift, not after
The red flags to walk away from
If you spot any of these, hang up:
- Rates quoted over the phone before they've seen your scope — means they're guessing
- "We're the best" or "number one" without proof
- No site visits offered — means they're running on volume
- Vague answers on screening, licensing, or what happens when something goes wrong
- No clear answer on which states they're licensed in
- Pressure to sign before you've done your homework — the urgency is theirs, not yours
